Post-Shipment Documents Checklist: What's Left After the Vessel Sails

Loading the container isn't the end of the paperwork. Here's every post-shipment document an exporter still has to collect, send or file — and in what order.

Post-shipment documents are the papers an exporter collects, sends or files after the goods are loaded: the bill of lading or air waybill, final commercial invoice and packing list, certificate of origin, insurance certificate, shipment advice to the buyer, the documents presented to the bank, and — once the buyer pays — the realisation record (eBRC in India).

Our pre-shipment documentation timeline covers everything up to loading. This is the second half: what's still open once the vessel sails, and the order it usually happens in.

Pre-shipment vs post-shipment documents

StageTypical documentsMain reader
Pre-shipmentProforma invoice, purchase order, packing list draft, shipping instructions, shipping bill, inspection certificateBuyer, CHA, customs
Post-shipmentBill of lading / AWB, final invoice and packing list, certificate of origin, insurance certificate, shipment advice, bill of exchange, bank covering schedule, realisation recordBuyer, bank, buyer's customs

The post-shipment checklist

  1. Shipping bill with LEO — confirm the Let Export Order was granted and keep the final shipping bill copy. See what happens after you file a shipping bill.
  2. Transport document — check the draft B/L or AWB against your invoice and the LC before the carrier issues it; collect the originals (or confirm a seaway bill / telex release).
  3. Final commercial invoice and packing list — updated to what was actually loaded, if quantities changed from the pre-shipment drafts.
  4. Certificate of origin — apply once the transport details are known; preferential certificates need the FTA's own format.
  5. Insurance certificate — if you insure (CIF, CIP), dated no later than the shipment date.
  6. Shipment advice — send the buyer vessel, B/L and ETA details; many LCs require proof that you did.
  7. Bill of exchange and bank covering letter — for LC or collection (D/P, D/A) shipments.
  8. Present documents to the bank — within the LC's presentation period, or send under collection.
  9. Track payment — follow up on the due date and record receipt against the invoice.
  10. Realisation record — in India, the eBRC once the bank reports the inward remittance.

Deadlines that run after shipment

  • LC presentation period — field 48 of the credit, or 21 days after shipment if it's silent, and never after expiry.
  • Insurance date — must not be later than the shipment date on the transport document.
  • Buyer's arrival — originals must reach the buyer (or their bank) before the cargo arrives, or they face demurrage.
  • Realisation — export proceeds must be realised within the period RBI prescribes; India's export regulations were revised from 1 October 2026, so confirm the current period with your AD bank.

Where post-shipment paperwork goes wrong

Most problems come from documents being updated in one place and not another: a short-shipped carton changed on the packing list but not the invoice, a B/L issued with the port the booking showed rather than the one the LC names, or a certificate of origin applied for from the pre-shipment draft. Re-check the final set together, not one at a time — see why export documents get rejected.

Frequently Asked Questions

What are post-shipment documents in export?

Documents issued or used after the goods are loaded: the bill of lading or air waybill, final invoice and packing list, certificate of origin, insurance certificate, shipment advice, bill of exchange, and the bank's realisation record.

What is the difference between pre-shipment and post-shipment documents?

Pre-shipment documents get the goods cleared and loaded (proforma, packing list, shipping bill, inspection). Post-shipment documents prove the shipment happened and get you paid (transport document, certificates, bank presentation, realisation).

How long do I have to send documents to the bank after shipment?

Under an LC, the number of days in field 48 — or 21 calendar days if the credit doesn't say — and never later than the expiry date. For collections there's no UCP deadline, but the buyer needs originals before the cargo arrives.
